Secretary (Partially supporting the Legal Department)

We are currently looking for a new member for the Local Back Office team to join us in the position of Secretary.

Working Place: Sonae Sierra's Central Offices in Romania

Requirements:

  • Previous experience in an administrative/secretarial position - specific experience as legal assistant or a legal background would be highly appreciated
  • Fluent in English (verbal and written)
  • Proficient in MS Office (particularly Word, Excel and Powerpoint)
  • Detail oriented and reliable
  • Strong communication, organization and time management skills

Responsibilities:

Supporting the Legal Department:

  • Draft basic legal documents and provide assistance in preparation of contracts and their addenda, such as: small complexity leases, service contracts;
  • Draft notices and other papers of a routine nature, according to the instructions received;
  • Translate to English other legal documents and internal forms and procedures;
  • Organize the archive of documents (electronic and hard copy), monitor calendars, meeting deadlines and inputting information into the file database;
  • Ensure the correct company procedures for signature of documents are respected;
  • Process documents in PIMS;
  • Liaise with other staff, external lawyers, enforcement officers, pubic notaries and other persons/authorities, as requested;
  • Ensure the preparation of periodical legal reports; Participating in legal meetings and drafting relevant minutes;

General Secretarial responsibilities:

  • Screen phone calls and correspondence, inquiries and requests, and handling them when appropriate;
  • Ensure correspondence is sent and informing when the same is received on behalf of the relevant Departments;
  • Meeting and greeting visitors at all levels of seniority;
  • Draft expense accounts;
  • Arranging travel, visas and accommodation;
  • Organize and maintain agendas and making appointments and meeting room reservations;
  • Provide information by answering questions and requests.
  • Manage office supplies;
  • Reception Tasks when required;
  • Other general administrative support;
