Job Description (Roles and Responsibilities)

Main purpose of job:

The British Embassy Brazil seeks an enthusiastic candidate with a background in either - communications, political science, international relations and or programme management for the role of ‘Chevening Brazil Programme Assistant’. This is a fulfilling role assisting the administration and management of the Chevening Scholarship Programme in Brazil. This programme provides year-long scholarships for Brazilians with leadership potential to study for post-graduate qualifications in the UK. The successful candidate will be involved in the whole process from advertising, to interviews, to preparing successful candidates to depart, welcoming them home, and keeping in touch with alumni.

Roles and responsibilities / what will the jobholder be expected to achieve?:

Administration and Process

  • Help deliver the year round Chevening Brazil Programme including administration and organisation of Chevening interviews, Chevening events, Chevening talks and Chevening funded projects
  • Manage Chevening Brazil mailbox and respond to enquiries via phone, Whatsapp, letter and e-mail
  • Assist and plan Pre Departure and Welcome Home Events across Brazil
  • Assist and facilitate links between Chevening scholars, alumni and staff across the UK’s Network of Embassy and Consulates across Brazil

Database Management

  • Manage database of 2,000 Chevening Brazil alumni
  • Effectively manage large volumes of data relating to selections, interviews, scholars and projects

Media and Communication

  • Confidently deliver Chevening presentations
  • Working alongside colleagues plan and implement media strategies to promote Chevening within Brazil
  • Participate in promotional fairs and events (where appropriate)
  • Pro-actively reach out to potential Chevening interlocutors

Resources managed (staff and expenditure):

  • Management of one intern and assistant management of Chevening Brazil budget (£70,000)
Essential qualifications, skills and experience
  • Excellent analytical, interpersonal and communication skills
  • Language: must be fluent in both English and Portuguese)
  • A fast learner with a creative mind
  • Superb organisational skills used to balancing multiple priorities and objectives
  • Ability to keep tight deadlines
  • Ability to manage data, organise and apply process
  • A good team player with strong attention to detail
  • Strong administrative skills and experience in dealing with enquiries
  • Strong computer skills, particularly excel, word, PDF and database management
Desirable qualifications, skills and experience
  • Knowledge of Chevening Programme and understanding of UK in Brazil priorities and objectives
  • Budget Management experience
  • Experience of public speaking and/or giving presentations

The British Embassy Network offers a strong benefits package. This package includes generous vacation and leave time, flexible working patterns, and enriching learning and development opportunities. Eligibility to work and live in Brazil is required.

The job holder will need to complete a number of UK Foreign and Commonwealth Office mandatory e-trainings on arrival. The job position is eligible for a number of L&D opportunities and funding. A specific L&D plan will be discussed and agreed with the line manager on arrival.

Additional information

The role can be done remotely from Brasilia, Sao Paulo, Rio de Janeiro, Belo Horizonte or Recife. The successful candidate will be expected to work 36 hours per week with occasional evening work required (for which the job holder will be given time off in lieu). Flexible working patterns would be possible, in agreement with the line manger.

Most of our staff are working remotely from home due to COVID-19. This is likely to continue for a while, and we envisage staff having flexibility to work from home more frequently in the future.
