Position Overview - Basic Functions & Responsibility

Essential function(s) includes, but is not limited to:

  • Performing advanced administrative tasks within iCMC LATAM, contributing with a high initiative and pro-active attitude, based on a cooperative interaction among areas, as well as a business resource on procedures and practices of assigned projects. Actively participates in the development of the project administration.
  • Providing the departmental full assistance to perform daily work assignments and conducts required analysis, reviews, recommendations and reports to special projects that impact the area business to be responded on time. Effective communication, objectivity and confidentiality are essentially required skills.
  • Conducting all work activities in a safe and environmental responsible manner, following all applicable safety, environmental and compliance policies, procedures and guidelines. Leads by example, actively participating in required training and committee assignments, and assisting in promoting a positive conscious work environment.

Primary Activities

Primary activities include, but are not limited to:

  • Handling office tasks, such as ensuring proper correspondence and information flow, maintaining electronic and hard copy filing system and managing office supply inventories.
  • Organizing agendas and providing real-time scheduling support by booking appointments and rooms for the area staff, setting up for meetings and preparing/distributing meeting agendas and minutes.
  • Providing necessary support on national and international travel arrangements to visitors and employees, since from early reservations, arrivals and departures in/from Brazil and post return to origin and assuring that all people involved receive timely and complete information related to the visit.
  • Assisting in controlling area budget by controlling expenses, purchase and payment orders and analyzing the area charged accounts.
  • Issuing expense reports for the area staff.
  • Organizing/coordinating events and special projects, such as international visits, team meetings and participation in conferences, seminars and trainings.
  • Supporting area staff in solving administrative questions and issues.
  • Coordinating and performing multiple tasks, understanding project principles and technical skills related to own work assignments. Work priorities are reviewed with little supervision.
  • Being an area representative in forums with other support areas such as Finances, Facilities/Site Services, Procurement, etc.

Required Skills

  • Required computer skills – Windows 10, Office 365 (mainly outlook, word, power point and excel). Knowledge in SAP, MS Teams, SharePoint, OneNote are a plus.
  • Advanced secretarial abilities with problem solving skills, solid experience at the position, pro-activity, highly organized, sense of teamwork.
  • Professional communication skills – written and verbal.
  • University degree, fluent English and basic Spanish languages knowledge are required.

Temporary position - 1 year contract, with a possibility to extend it for 1 more.
